However, renting an LED screen isn’t as simple as picking a size and plugging it in. It involves multiple steps—from assessing your event’s needs to post-event removal and each stage affects your cost, quality, and overall success. This guide will walk you through the complete LED rental process, ensuring you know what to expect, what to prepare, and how to work efficiently with your rental supplier.

1. Understand Your Event Requirements

Before you even contact a supplier, take time to clarify what your event actually needs:


· Venue type: indoor or outdoor? Bright or dim lighting?

· Audience size: 100 or 10,000 attendees?

· Viewing distance: How close will people be to the screen?

· Content type: Are you showing live video, slides, or sponsor ads?

· Maintenance way: front maintenance or back maintenance?


These answers will determine what kind of screen you need—from pixel pitch to brightness and size. It also helps your supplier provide a faster, more accurate quote.

2. Choosing a Reliable LED Rental Supplier

Not all LED screen providers are equal. Look for:

· Proven experience with your type of event

· Can they give you technical support in time when you have problem?

3. Requesting a Quote: What You Need to Provide

To get an accurate quote, be ready to share:


· Event country/location and the date

· Screen size or viewing distance

· Type of content (HD video, PowerPoint, camera feed)

· Voltage: What’s the local voltage? 220v or 110v? 220v is the standard

4. Site Visit & Technical Assessment

Professional suppliers will insist on visiting your venue (or reviewing photos/layouts) before confirming the rental. They’ll assess:

· Mounting locations (ground stack, truss, hanging)

· Power access and cable paths

· Audience line of sight

This ensures your screen is installed safely, effectively, and legally.

5. Proposal & Contract Review

Once specs are confirmed, you’ll get a formal quotation with:

· LED Display Spercifications: details of screen, cabinet, module with technical, size, resolution,etc.

· Pricing breakdown (screen, control system, package, spare parts, transportation, extras)

· Images: Relevent cases, Testing case in their factory, cabinet pictures and more

· Terms: Quotation valid date, delivery time, payment terms, warranty,etc.

6. Production & Testing

Once the LED screen specifications are confirmed and the rental agreement is signed, the production and preparation phase begins. Engineer will make BOM and purchase buy the materials according to bom, each BOM is customized based on the customer requirements, such as size, pixel pitch, refresh rate, or viewing angle. It’s includes the following key steps:

· Production arrangement when materials are ready: module production, cabinet assemble, full led display testing

· Aging Test: Every LED wall undergoes a minimum of 48-72 hours of aging test. This involves running the screen at high brightness, checking for color consistency, dead pixels, line artifacts, and flickering. signal testing including sender box, processor, media server input, and video playback—so that all inputs are synchronized and calibrated.


This testing phase is where many problems can be identified and fixed before they ever happen on-site. For us, it's about delivering a screen that's not just “bright and big,” but also stable, color-accurate, and show-ready.

 Tip: If your event involves live feeds, simultaneous playback, or mixed media sources, make sure your provider performs a full processor test with your source type. Compatibility is key.

7. Delivery and Installation

After a few days of testing, the LED display that meets the quality requirements will be packed and ready for shipment. Most shipments will be sent by economical sea transport (15-35 days, there will be differences in different countries), and in special cases, urgent use will be sent by air transport (3-7 days, the time is different in different countries, but the freight is very high).


·Installation happens 1–2 days before the event, depending on complexity. We provide a complete set of rental LED display, and customers can install and use it directly after receiving the goods. 8. Screen Removal and Post-Event Wrap-up

Teardown usually begins right after the event ends. Your team should:


· Power down equipment safely

· Remove cables and trusses without damage

· Pack led rental cabinet properly

· Clean up debris or marks left behind
